Sample Orders from Taiwan Factories: Cost, Timing, and What to Check
On a new Taiwan factory relationship, the buyer normally pays for the sample unit and its shipping, should expect a fast sample only when no new tooling is involved, and should treat the sample as a fit-and-finish check rather than a production sign-off unless it was made on actual production tooling. Getting any one of those three assumptions wrong is a common way a promising factory relationship stalls before a single production unit ships. This guide covers who pays, what a sample actually costs, how long it should take, and the checklist to run when the box arrives.
Who pays for a sample order?
On a new relationship with no order history, the buyer normally pays for both the sample unit and the shipping cost to get it. Treating a sample as a free giveaway is not the norm, and asking for one with no commitment signal at all is one of the fastest ways to get deprioritized by a busy factory's sales team. Once you have placed at least one production order with a supplier, many factories will waive or credit the sample cost against a future purchase order, since the relationship has already demonstrated real intent. Some factories will also waive cost for a very cheap, no-tooling part regardless of relationship history, simply because the marginal cost of one extra unit is negligible either way.
What does a sample actually cost?
Almost everything depends on whether the part needs dedicated tooling. A machined bracket, or a part cut from an existing die or mold, needs no new tooling investment, so the sample cost sits close to the part's raw marginal cost plus a handling fee. A part that requires a new stamping die, injection mold, or casting tool is a different conversation — the factory either builds a full production tool before a single sample exists, or makes a rough soft-tooled or 3D-printed approximation that will not fully represent the final part. Ask directly which situation applies before assuming the sample price has anything to do with the eventual production price.
How long should a sample take?
Timing follows the same tooling logic. A sample from existing tooling can often ship within one to two weeks of a confirmed order. A sample that needs new production tooling can take four to ten weeks or more before a physical part exists at all, because the tooling itself has to be designed, cut and tried out first. If a factory quotes a fast sample timeline for a part that clearly needs new tooling, ask directly how the sample will actually be made — a suspiciously fast answer usually means a non-representative shortcut.

Sample vs. production-representative: know the difference
A sample and a genuinely production-representative part are not automatically the same thing, and conflating them is one of the most common mistakes buyers make at this stage. A hand-finished or soft-tooled sample can look correct while being made by a process — different clamping pressure, different cooling time, a slower manual finishing pass — that a real production run will never replicate. Before scaling to a pilot or production order, ask specifically whether the sample you received came off production tooling and process, or was built as a one-off approximation. If it is the latter, treat it as a shape-and-fit check only, and ask for a second sample off the actual production tool once that tool exists.
What to check when the sample arrives
Work through a short checklist before signing off, rather than eyeballing the part and moving on:
- Dimensional accuracy against your reference part or drawing, with actual measurements where possible rather than a visual comparison alone
- Material and finish — plating tone, plastic grain, wall thickness — against the agreed spec
- Physical fit against a mating part, or on a vehicle, if that's practical for your category
- Any functional requirement the part carries, from a simple mechanical fit to an electrical connection
- The packaging the sample arrived in — it's often close to what a full shipment will use, and damage in transit here previews a bigger problem at container scale
From sample to pilot, without losing momentum
The bridge from an approved sample to a real pilot order is where progress most often stalls. Before placing the pilot order, confirm in writing exactly what will and won't change between the sample and the pilot — same tooling, same material lot, same finish — and set a written acceptance standard for the pilot that references the sample you already approved, so a dispute later has something concrete to point back to.
