Most RFQs sent to Taiwan factories never get a real reply — not because the factory doesn't want the business, but because the request doesn't give them enough to work with. A sourcing manager on the receiving end triages dozens of inbound emails a week, and an RFQ missing quantity, spec or Incoterm gets a form reply or silence, not a quote. This is a field-by-field guide to writing the kind of RFQ that gets read, understood and answered — plus the mistakes that reliably kill a reply rate, and a skeleton you can copy for your next request.
Why incomplete RFQs get ignored
A factory's sales or engineering team has to do real work before they can quote: check tooling availability, estimate cycle time, price materials, confirm a production slot. An RFQ that's missing quantity or spec forces them to either guess — risky for them — or write back asking for the missing pieces, which is slow for you. Busy suppliers, the ones worth working with, triage for completeness before anything else, because a complete RFQ signals a buyer who has done the homework and is likely to actually place an order.
The fix isn't a longer email. It's a structured one. A short RFQ that covers every required field beats a long one that rambles and still leaves gaps.
Field by field: what a complete RFQ contains
Work through these fields in order. If you can't answer one yet, say so explicitly rather than leaving it blank — "TBD, will confirm after sample" is more useful to a factory than silence.
- Part description — vehicle make, model, generation and year range, plus position (front/rear, left/right, upper/lower). Skip OE and cross-reference numbers at this stage; a plain-language description is enough to start, and it keeps sensitive reference data out of a cold email.
- Quantity — both your pilot quantity and your realistic annual volume. These are different numbers and a factory prices them differently; conflating them produces a quote that fits neither.
- Specifications — material, tolerance, surface finish, and any performance requirement you already know, even approximately. "Not sure yet" is fine for one or two fields, but say so rather than omitting them.
- Incoterm — FOB, EXW, CIF or another term, and the port or city you're quoting to. A unit price without an Incoterm isn't comparable across suppliers.
- Acceptance criteria — how you or your customer will judge whether a delivered part passes: dimensional tolerance, a physical fit test against a reference part, a certification requirement, or a named inspection standard.
- Certifications required — and whether you need test reports or certificates submitted with the quote itself, not just claimed in conversation.
- Timeline — separately, for samples and for production. A factory that can sample in two weeks and produce in eight is answering a different question than one asked for a single combined date.
- Packaging and labeling — export carton requirements, private labeling if any, and any market-specific labeling rule you already know about.
Common mistakes that kill a reply rate
The same handful of habits show up in almost every RFQ that goes unanswered.
- Sending a one-line "please quote" with an attached photo and nothing else — there's not enough here to price anything
- Bundling ten unrelated parts into a single message with no per-part breakdown, which forces the factory to do your organizing work before they can start theirs
- Leaving out both pilot and production quantity, so the factory has to guess which one you actually want priced
- Asking for exclusivity or a long-term commitment before a single sample has shipped
- Omitting a reply-by date, so your request sits in a queue behind requests that gave one
A sample RFQ skeleton
You don't need special software for this — a short, structured email or a one-page attachment works. Here's a skeleton to adapt:
- Part: [vehicle make/model/generation/year range], [position]
- Pilot quantity: [n] units — Production volume (annual estimate): [n] units
- Material / spec: [known specs, or "TBD — please advise typical options"]
- Incoterm: [FOB / EXW / CIF] to [port or city]
- Acceptance criteria: [dimensional tolerance / fit test / certification / inspection standard]
- Certifications required: [list, or "none required"]
- Sample timeline needed by: [date] — Production timeline needed by: [date]
- Packaging: [export carton / private label / market labeling notes]
- Reply needed by: [date]
What happens after you send it
A complete RFQ to a genuinely capable factory typically gets at least an acknowledgment within a few business days, even if the full quote takes longer while they check tooling or material cost. If a week passes with no reply at all, a short, polite follow-up referencing your original email is normal practice — it isn't pushy, and factories that intend to quote generally appreciate the nudge. If you're sending the same RFQ to several factories at once, say so; it's common practice and most suppliers expect it, but it helps them prioritize honestly.
